Job Summary
The Estimator/Repair Planner is central to maximizing productivity and efficiency, streamlining safe, proper, efficient repairs, maximizing sales, and achieving a stress-free working environment.
Accountability & Responsibility Of Position
1. Sales And Customer Service
Assist in greeting the customer and identifying and addressing their individual needs for an exceptional customer experience
Confirm customer contact, marketing information and special concerns and enter in the management system
Follow-up daily on estimates not sold at the time of estimate to secure the customer’s business
Verify the customer has signed all agreements and forms before work has commenced
Ensure all work is consistent with current company labor rates
2. Complete And Proper Disassembly
Ensure the vehicle is completely disassembled according to the company standard operating procedures
The Estimator/Repair Planner is the ‘gatekeeper’ responsible to ensure a complete and proper DFR is performed
Ensure all disassembled parts are labeled and stored properly
3. Complete And Accurate Repair Plan
Ensure accurate, complete photos are captured to adequately document the necessity of all operations listed on the repair plan
Identify Potential Up-Sell Items
Review vehicle for unrelated prior damage and contact the customer to upsell additional repairs that may be needed
Repair Analysis-uncover all hidden parts and structural damage in order to maximize profitability and increase overall labor efficiency.
By properly recognizing all of the hidden damage in the Disassembly For Repair stage, the Repair Planner will reduce cycle time by eliminating multiple supplements and phone calls to the insurance company.
Systematically inspect the vehicle, meticulously itemizing all operations necessary to repair the vehicle
Produce complete, thorough, and accurate autobody damage appraisals according to the OEM repair procedures, which meet or exceed company gross profit goals
Focus on thoroughly specifying all parts, materials, and sublet operations needed
Utilize all available reference materials to capture every applicable operation
Research OE repair specifications
Profit-match parts as applicable
Properly map repairs and replacements on the vehicle panels and sublets on the ‘grid’ placed on the vehicle
4. Track And Manage The Job Through The Repair
Periodically inspect the body, mechanical and paint work throughout the repair to ensure the repair plan is being strictly followed in an efficient manner meeting repair timelines, and pictures have been taken to document key labor operations
Ensure the job meets or exceeds the company’s gross profit objectives
Ensure accurate, complete in-process photos are captured to adequately document the necessity of all operations listed on the repair plan
Ensure the repair is being performed as written
Identify and capture any additional parts that may be needed
Assist in Quality Control checks throughout the repair
Maintain strong relationships with all insurance adjusters
Negotiate when discussing the repair plan and subjective repair times necessary to properly repair the vehicle
5. Pre-close The File
Perform a technical review to ensure the RO captures all operations performed and accurately reflects the repairs
6. General
The Estimator/Repair Planner must possess a positive attitude with fellow team members, vendors, customers, and insurance company representatives and portray a professional business image.
Participate in daily release meetings in order to provide key information to team members
Extend working hours as necessary to accommodate workload
Participate in weekly and monthly company meetings as requested
Be willing to attend any and all training programs to enhance performance both personally and professionally
Be willing to travel as required for training and other company programs
